Action
1. Apologies for Absence
  No apologies were received
  Shirley welcomed John Daw to the committee as the representative for Sutton.
2. Plans from Other Villages
  Julia had done extensive work on finding information from other villages – especially Tollerton and fed this back to the committee.
  Laminated maps and models were discussed as methods of raising issues.
  Tollerton held four open days and identified 60 different subjects this were then sorted into main categories and sub groups were formed to work on these issues. Their committee now meet every 6 months to progress chase.
  Information that had been compiled by Tollerton, Hickling and Cropwell were circulated.
  It was agreed that something visual was needed for the event being held in June. This would allow people to comment on issues raised and add to them. General consensus was that a large scale map would be as useful as a model given the size of the parish.
  Michael Headland said he would try to get hold of a copy of the map used by the Queens Medical Centre to illustrate the concept of the style to the committee. Michael Headland

  Julia was asked if she would take her findings and pick out the salient points and bring to the next meeting. Julia Bell
  Julia had been frustrated by not being able to talk to Hickling whose size is more comparable with Granby and Sutton. Shirley asked for people to talk to other villages and bring back as much information as possible. She asked Loz if volunteers could be used to help with this.It was agreed that these villages do not have to be close – quite a lot of plans have been compiled by villages in Devon. s It was agreed a standard set of questions need to be used:

  • How much did it cost – what are these costs for
  • What works well
  • What didn’t work well
  • If you did it again what would you do differently
  • How did you involve different sections of the population

Philip pointed out that only one person should be talking to one village.

Shirley has some information from Cropwell Bishop to be circulated around the group. This will be done by hard copy for those without email access and for those with, Malcolm will scan in and a copy will be attached to these minutes.

3. Village Survey
  Christine had received 67 replies plus another 27 were handed to her on the night. She had done a quick analysis and distributed a list of these to the meeting.One personal issue had not been included in this list as comments were very personally scathing.The committee thanked Christine for this large piece of work.Christine to continue with analysis now she has more surveys returned and will bring results, including the demographic information to the next meeting. 4. Producing a working Plan
  It was agreed that something visual is needed for the summer event. There will be more opportunities for this to be on view on the Sunday of the event rather than the Saturday.
  The plan can also be publicised at the St George’s night event – maybe by using a flyer at each place setting. Malcolm

  It was agreed that issues – once identified can be put in the village hall, forming a chart with the most popular at the top. Using a suggestion box – these can be commented on on an ongoing basis – making it an interactive process and illustrating that priorities can change according to weight of opinion. Hopefully this will prompt people to voice their views.This means that anyone attending an event in the village hall can comment.
  It was agreed that some tasks would be best done in small working groups which could carry out much of the preliminary work and report back to the full Steering Group for a final discussion/action.Shirley to draw up the list of proposed groups and their membership following Members’ preferences.”

  Comments from the committee included:

  • We need to feed results back to the village as soon as possible to maintain momentum and interest.
  • We need to consider potential solutions
  • Information could be included in the village newsletter
  • We could ask the parish council if we could hijack an area of the village notice board
  • We must be prepared to fight for what people want without promising to attain the unattainable

  • Newsletter will include a note of thanks and details of the results.

5. Finance

  Kiran volunteered to set up a blog as a method of communication and obtaining ideas Kiran
  Alistair, Andrea and the group already working on the survey to get together to help with analysis for the next meeting
  Shirley asked for discussion items to be proposed for the next meeting and any accompanying papers to be forward to Carole Scott for circulation with the minutes. ALL
  People to come with an idea for some sort of publicising event for September. ALL
